What is Torchlight Festival of Camping?

In 1921 the Club launched the National Feast of Lanterns, the members end of season camping festival. As an event organised by member for members, its founding figures had a clear vision of what this promising new event should be. Plans were set for an uplifting celebration of the camping season and the chance to share memories and experiences of the great outdoors – the one place they all loved to be.

Every member was invited and asked to bring their voices and their instruments. Each was encouraged to decorate their tent with brightly coloured, handmade lanterns. The collective effect was spectacular and a new tradition had begun. Now, over hundred years later, Torchlight Festival of Camping carries on this magic tradition. 

As with its earliest staging, and keeping the Club’s values at its heart, all who attend should feel wanted and welcome. From die-hard DA member to wide-eyed young explorer, this new event will offer everyone the chance to meet, camp, eat, dance and play in an enchanting woodland setting. 

All members are invited to join us at Walesby Forest on 16th August 2024 to celebrate with a live music stage, forest light trail, festival food, outdoor activities and much more. 

Torchlight will have a family festival vibe and we encourage you to keep the NFOL tradition alive by illuminating and decorating you camping unit for all to enjoy.

What can I expect at Torchlight Festival of Camping?

Torchlight will give everyone at Walesby the opportunity to enjoy the full festival experience, all included in a three-night camping and entertainment ticket:

The show
The main music stage will be headlined by established festival performers, as well as a host of crowd-pleasing tribute acts. Torchlight will also entertain and delight with a small vintage funfair, family tipi, Club Pub and a calming wellness sanctuary in a hidden glade.

The light
At the spiritual heart of Torchlight and unique to the event, will be a magical light trail through the forest, celebrating the history of the club and the significance of its local groups and associations. It will wind its way through the trees, to an illuminated vintage camping display. And just as in 1921, attendees will be encouraged to decorate their own units with lights, making their own personal contribution to a wonderfully memorable weekend.

The feast
Torchlight will be a foodie haven, with a selection of independent food vendors in the catering village. A fully covered Festival Pub and a Quiet Bar will provide further options for families and friends to enjoy their time together.

The site is split into different camping zones, the zone you require will depend on your unit type and if you want to book electric hook-up.

Can I choose where to pitch (e.g. next to my friend) at Torchlight Festival?

Pitches are allocated on arrival, if you want to camp with a friends you must book at the same time to ensure you book the same camping zone and arrive together.

Are there any shower and toilet blocks at Torchlight Festival?

There will be limited toilet and shower facilities primarily for campers that do not have their own sanitation, such as tent campers and campervans. If you have your own sanitation, we encourage you to use it.

Accessible pitches are available. To ensure we can meet the needs of members requiring this type of pitch we ask that you call the Club Service Centre on 024 7647 5426 to book an accessible pitch. Please have your blue badge number to hand when you call to book.

How many people can camp on one pitch at Torchlight Festival?
A maximum of 9 people are permitted on a single pitch, with no more than 6 adults on a pitch. All adults must be a member of The Camping and Caravanning Club.

Is there electric hook-up available at Torchlight Festival?

Yes, electric hook-up can be booked for £79.50 per pitch.

How big are the pitches at Torchlight Festival?
All pitches are 10m x 10m grass – large enough to accommodate one main camping unit, i.e. a tent, trailer tent, caravan, campervan or motorhome, plus a car and an awning or pup-tent.

Are there any hardstanding pitches at Torchlight Festival?
Not on this occasion, grass pitches only are available.

Can I use my own generator at Torchlight Festival?
No – generators can disturb other campers and we prefer you not to use them.

What will I receive?
You will receive arrival instructions and vehicle window stickers which will give you access to the site and identify your camping zone. These must be displayed in your vehicle when you arrive.

What time can I arrive?
Friday 16th August from 10am or 10am Thursday 15th August if you have booked the additional night. Please do not arrive before these times.

Whats the check in process?

When you arrive make your way to the Torchlight Club House where we will check you in; please have your booking reference number and membership cards with you for all adults attending the event. 

When you check-in we will issue your event wristbands. These bands must be worn at all times to access the entertainment.

What if we’re arriving in more than one car?

Please call the Club Service Centre on 024 7647 5426 to request an additional vehicle pass for your camping zone. 

Once you arrive on site and unload your additional vehicle you may be asked to more the vehicle to the event carpark, as space on the pitch is limited.

The Walesby Forest Activity Pass

From its very inception, The Club has promoted a healthy, active lifestyle. Torchlight visitors will be able to purchase an activity pass, giving them the chance to enjoy a huge range of fun activities in the forest, including archery, climbing, bushcraft and ziplining.

A pass can be purchase on site for £21.50 per person per day. This gives you unlimited access to all the activities.

Is waste disposal available at Torchlight Festival?

We provide full waste disposal facilities for your black, grey and dry waste.

When emptying your black waste (toilet waste) do not use the clean water supply tapes to wash your toilet cassette.

Are dogs allowed at Torchlight Festival?

We welcome well behaved pets on site and hope they enjoy their stay as much as you do, but in the interest of safety and comfort we ask that pets are kept on a lead of no more than 2m when outside.

Walesby Forest is known to have Ticks, which can put your dog at risk for Lyme disease, take precautions to avoid the heather and wooded areas.

With the exception of assistance dogs, pets are not allowed in the toilet block.

For everybody's comfort on site, pet owners are respectfully asked to ensure any mess is cleaned up and noise is kept to a minimum.

Is the Torchlight Festival site wheelchair-friendly?
Yes there is a single-track road around the central area, but it is mainly a grass, wooded, rural site and the ground is uneven. We do have a Blue Badge camping area, but availability is limited, please book early to guarantee an accessible pitch.

I don’t want to stay for the duration of Torchlight Festival, can I just book for 2 days?
Unfortunately, no. This is a standalone event with a fixed fee. Guests must pay for the full duration of the event regardless of how many nights you stay on site.

Do food and drink vendors take cash?
The preferred method of payment for vendors is card, however this depends on the quality of the connection, and they may request cash if they have issues with their card machine.

What happens if I cancel my Torchlight Festival booking?
Cancellations made before 4th July 2024 will be refunded minus an admin charge of £25.00 per booking. Electric hook-up fees are non-refundable. Cancellations made after 4th July 2024 cannot be refunded.

Can I amend my booking?
Yes, we can make amends to your booking up to and including 22nd July 2024. If you would like to add an extra night or occupants after 22nd July you will be able to do so when you check-in at the site.

Terms and Conditions

The event is run under The Camping and Caravanning Club UK Club Site Policies, unless stated below otherwise. Refer to full policies https://www.campingandcaravanningclub.co.uk/policies/uk-camping/club-sites/ 

Torchlight is a member exclusive event; a valid membership number is required when booking. All adults attending must be members, proof of valid membership may be requested at the event.

All paying members will receive event wristbands when they arrive on site, these must be worn at all times to access the free entertainment.

A maximum of 9 people are allowed per pitch, with no more than 6 adults in the booking. All adults must be a member of The Camping and Caravanning Club.

Tickets for the event include a minimum three-night stay.

Full payment is required when booking. 

The Camping and Caravanning Club reserves the right to make alterations to the published event programme where necessary.

Drinking of alcohol is allowed in licenced areas. All bars will follow a Challenge 25 policy. Your own drinks and food are not allowed into the bar areas.

Under 18’s remain the responsibility of their parents or carers at all times. 

We welcome well behaved pets on site but in the interest of safety and comfort we ask that pets are kept on a lead of no more than 2m when outside.

With the exception of assistance dogs, pets are not allowed in the toilet block or marquees.

For everybody's comfort on site, pet owners are respectfully asked to ensure any mess is cleaned up and noise is kept to a minimum.

You are not permitted in areas designated ‘out-of-bounds’.

A 5 mph speed limit will be in operation at all times.

We want all of our campers to have a pleasant stay, that’s why we ask that there be no noise or movement of vehicles between 11pm and 7am.

Noise must be kept to a reasonable level at all times so as not to disturb the enjoyment of others.

Open fires are not allowed, other than purpose made barbeques – all barbeques must be raised off the ground.

Failure to adhere to Terms and Conditions could result in entry refusal or ejection from the event without refund.

 

Ticket Pricing

A family 3-night ticket is £298.98, which covers two adults and up to 7 children on a pitch and access to the on-site entertainment for the duration of the festival. 

Single adult 3-night ticket is £198.99, which covers one adult and up to 8 children on a pitch and access to the on-site entertainment for the duration of the festival.

Additional adult £99.99.

Thursday night camping is available for a small fee for those that would like to arrive early.

Event Tickets and Delivery

• Event tickets and paperwork will be with you by 2nd August 2024, please contact the Club service centre if your tickets do not arrive by this date.

 

Arrivals and Departures

Pitches will be available from 10am Friday 16th August 2024 or 10am on Thursday 15th August 2024 if you have booked to arrive early. Please do not arrive before this time.

No arrivals will be admitted without a booking confirmation.

Arrivals after 8.30pm may be parked in a holding area and pitched the following morning if it is not safe to pitch when you arrive.

Pitches must be vacated by 12pm Monday 19th August 2024.

 

Pitching

For your safety, we operate a "six metre rule" which means that units (excluding guy ropes) should be 6 metres apart from adjacent units in order to protect against fire.

• The unit (along with any ancillary equipment) must fit within the confines of your pitch whilst maintaining the 6 metre rule. 

Only one main unit type is permitted on a pitch, ancillary items include an awning or 2 man pup-tent.

• Limited toilet and shower facilities will be available to campers that don’t have their own sanitation, such as tent campers and campervans. If you have your own sanitation we request that you use it.

• If you book an accessible pitch you must display your Blue badge at all times.

Refunds, amends & Cancellation

Cancellations made before 4 July 2024 will be refunded minus an admin charge of £25 per booking.

• Cancellations made after 4 July 2024 cannot be refunded.

• We cannot make any amends to bookings after 22nd July 2024. If you would like to add an extra night or occupants after 22nd July you will be able to do so when you check-in at the site.

The Club reserves the right to cancel the event at any time should it be necessary, should this happen, a full refund will be given.

 

Covid-19

Tickets will be refunded in full If the event is cancelled due to local or national Government restrictions relating to Covid-19.

• Tickets will be refunded minus the £25.00 admin charge or transferred to Torchlight Festival of Camping 2025 if you and/or your party cannot attend due to local or national Government restrictions, including self-isolation.

 

Liability

All persons attending Torchlight Festival of Camping do so at their own risk and no responsibility for persons or property is accepted by The Camping and Caravanning Club.

• The Club will not accept responsibility for any loss or damage to the property of the camper, including personal belongings, cash, jewellery and motor vehicles, however caused during their stay.
